Club Board Meeting Minutes

July 2, 2024

Call the meeting to order:  Co-President, Pat Ploor, called the meeting to order at 6:00pm.

Members present were Pat Ploor, Chris Zvara, Laura Voeks, Sharon Haines, Karen Gosser, Robyn Anderson, Pat Eggers, Angie Meacham, Carrie Tjernagel, Peg Wepner and Mary Fasciotti.

Approval of the June 4, 2024 Board Minutes – The minutes were approved upon motion by Sharon Haines with a second from Laura Voeks.  Motion passed.

Treasurers’s Report – Karen Gosser did not prepare a report.  She noted that there was some confusion regarding potential members and dinner payment.  The issue has been resolved.

Committee Reports:

Fundraising – Pampered Chef – Member Peg Wepner offered to host a virtual on-line Pampered Chef party in August.  Proceeds from this event will be donated to Literacy for the Visually Impaired program.  Chris Zvara made a motion to approve holding the Pampered Chef party with a second from Robyn Anderson.  Motion passed.

Grant Report – Peg Wepner email a report to members prior to the meeting.

Holiday Extravaganza – Plinko – Chris Zvara and Robyn Anderson offered to set up a Plinko Practice and demonstration at the August General Club meeting.  Each member is asked to bring a wrapped White Elephant gift to use as a prize.  A dollar donation is requested of a member to play.  This game activity will be included in the upcoming December Holiday Extravaganza fundraiser.  Pat Ploor will inform members of this activity for the August meeting.

Silent Auction – Discussion was held regarding the fact that no one has stepped forward to chair this committee.  Some members have indicated a willingness to serve on the committe but do not understand the responsibilities of the chairperson.  Angie Meacham offered to type up a list of duties and responsibilities and present this to members at the next general meeting.

Communications – Chris Zvara asked members to consider using an alternate way for members to sign up for activities other than using Sign-up Genius.  There have been issues with using this program. It appears that not all members get the needed information nor are their responses correctly recorded.  Chris is willing to investigate alternate ways to do this and would appreciate any help and guidance with this matter.

On-line Voting – Former member, Diane Jenquin, coordinated the process of on-line voting for Club and Board matters.  Peg Wepner will contact Diane to see if she can learn how to do this.  Chris Zvara indicated that she also would like to learn how to set up this process.

Social Media – Peg Wepner distributed a handout detailing information about the Altrusa of Door County facebook page.  She stressed the importance of using social media for the marketing of our organization.  Peg is looking for someone who is willing to create an instagram account for our organization.

Service – Write-On Door County – This organization contacted Altrusa of Door County and offered a booth at their upcoming Author Event at Martin Park in Sturgeon Bay on July 20.  After discussion, it was decided to decline the invitation due to lack of lead time to prepare a booth and have available brochures for distribution.

Flowers for Birthdays – Pat Ploor recently learned of a program where assisted living residents at Door Memorial received a carnation on their birthday through the Door County Hospital Auxillary.  Pat wondered if our organization would be willing to start a similar program at Pinecrest Care Facility in Sturgeon Bay.  Discussion followed.  Sharon Haines made a motion to present residents with a carnation on their birthday acknowledging Altrusa of Door County as the donor.  Funds to cover this would be taken from the Club budget.  Pat Eggers seconded the motion.  Motion carried.

Old Business:

Webpage – Angie Meacham and Peg Wepner reported that no website prototype or launch date has been set for the new website. They will continue to work on moving this process along.

Brewer Buddies Program – Pat Ploor sent an email to all members regarding dates available for free Brewer tickets.  Pat will need a 10 day notice prior to obtaining tickets for a member.

Foundation Policies – Sharon Haines noted the Altrusa of Door County Foundation Board met and named officers and went through the by-laws and policies.  Sharon will email a meeting review to members.

New Business:

Cherry Cove Leak Issue – Pat Ploor informed everyone there was a flood at Cherry Cove and some of Altrusa’s items in storage were ruined.  It was suggested to move the location of our stored items after the August Back to School Fair.  Angie Meacham agreed to order replacement acrylic stands that were ruined.

Non-Discrimination Policy Update – Peg Wepner gave an updated non-discrimination statement for the Foundation and Club of Altrusa to all members.

Altrusa Logo – Peg Wepner advised members to use the correct Altrusa logo when printing Club and Foundation documents.

4th of July Parade – Pat Ploor noted that a lot of candy has been donated by members to the parade float to be distributed on July 4 in the Egg Harbor Parade.  All members are welcome to help decorate and ride on the float.

Door Tran Speaker – Door Tran of Door County would like to speak at an upcoming meeting and explain to members what their organization does within the community.  President Pat Ploor will invite them to speak at the September General Meeting.

The meeting adjourned at 7:40pm upon motion by Pat Eggers with a second by Laura Voeks.  Motion passed.
